K3 Synergies is a professional service provider in employment mediation. In order to offer this service in the best possible form, we use the collection of personal data. Since we at K3 Synergies attach great importance to responsibility towards the protection of your personal data, an extensive system of technical and organizational measures is used that offer maximum security.
K3 Synergies is convinced that the personal privacy of its candidates, flex workers, employees, as well as its other relations and visitors to the website is of essential importance. The personal data is therefore treated and secured with the utmost care, in accordance with the requirements set by the General Data Protection Regulation (GDPR).
Who are we
K3 Synergies BV is located in Bovenkerkerweg 95E, Amstelveen 1187 XC, Netherlands and is responsible for the data processing (Controller within the meaning of the GDPR).
Technical information and cookies
In general, our website can be visited without your personal data being passed on to us. Like many other websites, this website automatically collects certain information about the users of the website, such as the Internet Protocol (IP) address of your computer. K3 Synergies uses cookies, Matomo and web statistics. We do this to see how visitors use our website. This information helps us to improve the site. Matomo is used to analyze the behavior of website visitors in order to identify potential pitfalls; pages not found, problems with search engine indexing, which content is most appreciated… Once the data has been processed (number of visitors who reach a page not found, only view one page…), Matomo generates reports that allow website owners to take action, for example changing the layout of the pages, publishing new content… etc.
When do we collect your personal data?
We collect your data from the moment you enter or leave your data on our website, you register at one of our locations or otherwise register or are registered to use our services. We may also collect information from you if you have placed it on public resources that could indicate that you are interested in work-related services. In that case, we will approach you to see if you are interested in registering with us in accordance with our terms and conditions and in compliance with this Privacy Policy. If you are not interested, we may process relevant information from you in order to honor your wish not to be approached by us. Why do we collect your personal data?
We collect and process your data for the execution of our services, including contracting ZZP, recruitment & selection, advisory services, personal development and employability. More specifically, your personal data is processed in order to- Be able to make you offers and/or provide information about the services and other activities and to better tailor these to your wishes and qualities. This is done by our employees and partly automated (for example, in the case of a vacancy alert).
- Approach you for commercial offers, newsletters, and promotional activities that may be of interest to you, only if you have registered for this (opt-in).
- Be able to assess your suitability and availability in connection with mediation for permanent or temporary work or an assignment, which may include test results, reference checks, and social media (if relevant to the position and indicated in the vacancy text).
- Enter into and maintain an employee or personnel/mediation relationship or assignment with you and carry out the relevant administration for this.
- Be able to record an assignment with the client in an agreement and maintain and fulfill the agreement with the client.

- Promote your personal development and employability, including training, education, and testing.
- For management purposes, including management information, providing internal controls and company security, and performing audits and accounting checks.
- For quality purposes such as certification.
- To apply for subsidies, premium discounts, etc.
- If we have entered into an employee or personnel/intermediation relationship with you, for compliance with laws and regulations, including but not limited to identification, labor law, tax and social security law, combating fraud, and national and international sanctions legislation.
What personal data do we collect from you?
We process the personal data that is necessary for our services; some of this data is mandatory to be able to use our services. Additional data may be desirable to better tailor the services to your wishes and qualities or to meet more specific questions or obligations from clients. You are responsible for the accuracy and relevance of the data you provide.More specifically, this concerns – among other things and where applicable the following (documents with) personal data: When registering:
– Name and address details, e-mail address and other contact details – Date of birth, age, gender – Curriculum vitae (CV), information about education, internships and work experience – Information about training courses and education and/or tests that you have followed or done yourself or through us – Information about availability and leave – Other information that may be important in the context of assessing the candidate’s suitability, for example references and certificates – Passport photo and video (introduction) – On a voluntary basis
At the moment you can start working/are working/have worked for K3 Synergies:
– Nationality, BSN number, ID, work permit – other data related to personnel, salary and absenteeism registration If you can work/work/have worked for K3 Synergies as a self-employed person, the above-mentioned data will only be processed if relevant and required. In the case of self-employed persons, we also process company data.
K3 Synergies only records special personal data if this is necessary to comply with its legal obligations, to the extent that permission has been given, or if this is otherwise permitted by or pursuant to the law. ‘Special personal data’ refers to data about race, religion or belief, political persuasion, health, sex life, trade union membership, criminal personal data and/or personal data about unlawful or disruptive behavior.
With whom can we share your personal data (candidates, self-employed persons)?
K3 Synergies can pass on your personal data to other K3 Synergies entities, its clients, subcontractors (for example data processors) who provide services or carry out assignments on its behalf, suppliers, government agencies and other (business) relations within the K3 Synergies network. And in all other cases in which we may be obliged to do so, for example by a court order or a court ruling. The provision of personal data takes place on the basis of a legitimate interest, legal obligation and/or for the execution of the agreement in accordance with the purposes as stated under “Why do we collect your personal data?”.How long do we store your personal data?
The retention periods we use depend on the applicable statutory retention periods.Candidates (if you have not (yet) worked for K3 Synergies) Your personal data (e.g. name, address, CV, work experience, education, test results, etc.) will be available for up to two years after the last contact if you have not worked for K3 Synergies.
If you no longer wish to use our services, you can unsubscribe. You can indicate this to your contact person. You will no longer be approached and/or mediated by K3 Synergies. Your personal data will be permanently deleted after three calendar months (in Recruitment & Selection, your data will be available for a longer period due to claim risks).
If you work/have worked for K3 Synergies Your personal data will be available for up to two years after the end of your employment.
Certain personal data will be available to K3 Synergies for a longer period of time for e.g. claims, audits) and tax obligations.
If you no longer wish to use our services, you can indicate this to your contact person. You will no longer be approached and/or mediated by K3 Synergies. In that case, your personal data will be archived in a protected environment after two years. Your personal data will only be available to K3 Synergies in accordance with the applicable purposes and terms.
Personal data of business relations (contact details of employees of clients, suppliers, vendors, referees and any other body with which we have a business relationship).
K3 Synergies processes the personal data of data subjects who work for companies with which we do business (1) to make offers for and/or provide information about the services and other activities and (2) to maintain a business relationship and (3) to conclude and maintain a contract.
We process, among other things, the following personal data of business relations: – names, contact details and functions of contact persons.
K3 Synergies may pass on the personal data obtained from its business relations if this is necessary to achieve the objectives of the business relationship or for the purpose of mediation. This data may be passed on to other K3 Synergies entities, to applicants or candidates, business partners and subcontractors (e.g. data processors) who provide services on its behalf, and in all other cases in which K3 Synergies may be obliged to do so, for example by a court order or court ruling.
Your rights
You have the following rights with respect to K3 Synergies as the controller:- The right to information about the processing.
- The right to access your data (described further below).
- The right to correct the data if it is incorrect (see below).
- The right to have data deleted and “the right to be forgotten.”
- The right to limit data processing.
- The right to object to data processing.
- The right to transfer your data (data portability).
- The right not to be subject to automated decision-making.
- If you have given K3 Synergies permission to process your personal data, you have the right to withdraw that permission at any time.
If you have a complaint about our processing of your data, you can file a complaint with the Dutch Data Protection Authority.
